Opening Another User's .PST File in your Outlook

Explanation.

If you want to download and open another user's Outlook .PST file into your own Outlook, the instructions below explain how to do that.

The first set of steps will explain how to download/export the .PST file.

The second set of steps will explain how to open it within your Outlook.

Exporting the Users .PST file

Step 1.

Open Outlook 365.

Step 2.

Click "File".

Step 3.

Click "Open & Export" and then click "Import/Export".

Step 4.

Click "Export to a file" and then click "Next".

Step 5.

Select "Outlook Data File (.pst) and click "Next".

Step 6.

Click on the user's email address to export the whole inbox and make sure the "Include subfolders" is selected. Then click "Next".

Step 7.

Click "Browse".

Step 8.

Type %userprofile% in the address box highlighted in the screenshot below and press enter. Then give the .PST file a descriptive name and then click "OK".

Step 9.

Choose what you want to do with duplicate items and then click "Finish".

Step 10.

Decide if you want to password protect this file or not.

To password protect the file, enter a password into the "Password" and "Verify Password" fields. Then click "OK".

If you do not want to password protect the file, just click "Cancel".

Step 11.

Wait for the file to completely export. Once finished, you can move onto to the next steps explaining how to open the file within your Outlook.


Opening the .PST File

Step 1.

Open Outlook 365.

Step 2.

Click "File".

Step 3.

Click "Open & Export" and then click "Open Outlook Data File".

Step 4.

Type %userprofile% in the address box highlighted in the screenshot below and press enter. Then click on the .PST file you want to open.

Step 5.

Now on your Outlook if you click "Outlook Data File" you'll be able to see the .PST.
