Securing Your Gradebook Data

To ensure we maintain accurate records and protect student data during the current Canvas security response, please maintain a local backup of your current Gradebook. This ensures you have a "Last Known Truth" for student grades should access be interrupted.

Step 1: Export Your Grades

  • Open Grades: Select Grades in your course navigation.

  • Window screenshot of Canvas Course Home Page. Far feft side-bar button "Courses" is outlined in red for emphasis. An additional more inner left side-bar button "Grades" is also outlined in red for emphasis.

  • Export File: Click the Export button and select Export Current Gradebook View. Canvas will automatically download the CSV file to your computer.

  • Window screenshot of Course Gradebook. "Export" button on the far upper right side is outlined in red for emphasis. Once "Export" is clicked, a short menu appears. "Export Current Gradebook View" is outlined in red for emphasis.
  • Window Screenshot of Canvas Course Gradebook Page with Browser bar. "Download" button on Browser bar which is indicated by a downward pointed arrow and a horizontal line underneath, is outlined in red for emphasis. The "Downloads" popup micro-window shows the Excel spreadsheet of the course grades has been downloaded and is outlined in red for emphasis.

Step 2: Secure the File to HCC OneDrive

Following our institutional security protocols, do not store student data on your personal device.

  • Open the File: Open the downloaded CSV in Excel.

  • Save to Cloud: Click File, then Save As.

  • Select Location: Choose OneDrive - Howard Community College.

  • Finalize: Name your file and click Save.

Step 3: Clean Up Your Device

  • Verify: Ensure the file is visible in your HCC OneDrive.

  • Delete: Delete the original CSV file from your personal "Downloads" folder immediately.

How to Use This Backup

In the event of a service interruption, this file provides:

  • Last Known Totals: Refer to the Current Grade or Final Grade columns for student standings.

  • Point-Based Data: Individual assignments will display as raw points.

  • Roster Information: The file includes student names and IDs. For offline communication, please use the course roster on Colleague for student emails.
